Ask a Volunteer Supervisor for a Recommendation With a Useful Packet

Ask a volunteer supervisor for a recommendation only when the application accepts that recommender type and the person knows your work. Provide the prompt, deadline, submission instructions, and a concise factual record so they can decide whether to write an informed recommendation.

Honor Society® offers career guidance to help you prepare a factual application record. Bring specific questions and a truthful record when seeking feedback.

Quick answers

Can any supervisor recommend me?

Check the application’s rules. Some requests require a teacher, counselor, or another specified role.

Should I write the recommendation myself?

Follow the application’s integrity rules. Provide facts and reminders without impersonating the recommender or submitting in their name.

What if the supervisor declines?

Thank them and identify another eligible person. A respectful decline is better than pressuring someone who cannot evaluate your work.

What should the packet contain?

Include the request, instructions, deadline, your relevant work record, and practical submission details.

Check eligibility before asking

Read who may recommend you and how the letter must be submitted. A volunteer supervisor may be appropriate for one scholarship and not another application. Confirm whether the recommendation is required, optional, or not accepted.

If the request concerns the Community Service Scholarship, consult its current instructions rather than assuming a letter is part of the process.

Make a clear, low-pressure request

Try: “Would you feel comfortable writing a recommendation about my work on [specific activity] for [application]? The deadline is [date], and the instructions require [relevant details]. I can send a short factual summary and the official submission directions.”

Ask early enough for the person to decide and prepare. Do not imply that agreeing to supervise you created an obligation to recommend you.

Assemble the factual packet

Include your name and contact details, application purpose, exact prompt, deadline with time zone if specified, official submission route, relationship dates, tasks the supervisor observed, and a concise reminder of one or two projects. Add your goals only where they help explain the request.

Use your activity evidence record and service log. Distinguish the work the supervisor directly observed from experiences elsewhere.

Give reminders rather than conclusions

Fictional example: “You supervised the supply drive where I maintained the sorting checklist and coordinated the approved delivery.” This is a helpful reminder. “Please say I am the best leader you have ever met” attempts to dictate an evaluation the supervisor must make independently.

Do not provide false numbers, scripted praise, or a letter falsely attributed to the recommender. Respect any confidential submission process.

Follow up and close the loop

Follow the agreed timeline and send a concise reminder if appropriate. Check the application’s status through its permitted process rather than asking to inspect a confidential letter. Thank the person whether or not the outcome is favorable.

A recommendation packet should make the work easy to verify. It is a practical aid to an independent assessment, not a way to manufacture authority for your application.
