Service that meets a real need
Volunteer Hours Log: A Simple Template and Verification Guide
A useful volunteer hours log records dates, tasks, actual time, the organization, and verification. Keep entries close to when the work happens, and follow the school or award’s required format if it provides one.
Honor Society® offers the Community Service Scholarship. Review its current criteria when you want to prepare an accurate record of your contribution; service participation does not guarantee selection.
Quick answers
What belongs in a volunteer log?
Include the date, organization, task, start and end times or duration, excluded time, and verifier when required.
Can I estimate old hours?
Use reliable records and label estimates where permitted. Ask the receiving program how to handle missing details.
Who should sign the log?
Use the person or process required by the receiving institution, typically an authorized supervisor.
Can team hours go in my personal total?
No. Record your own time separately from combined team effort.
Use a log that answers a verifier’s questions
A supervisor should be able to tell what happened, when, and why the duration is reasonable. Keep the task description specific enough to distinguish a service session from travel, training, or unrelated activity.
Begin with approval of the service role. A beautifully formatted log cannot turn an ineligible activity into eligible service.
Copy these fields
Use one row per session: date; organization; location or remote setting; task; start time; end time; break or excluded time; eligible duration; supervisor; verification status; and notes. Add the receiving program if different programs apply different rules.
If the program asks only for duration, retain the underlying record privately rather than forcing unnecessary detail into the official form. Do not include clients’ names or sensitive personal information in your log.
Calculate time carefully
Subtract breaks and any categories the policy excludes. Keep time units consistent. If you use decimal hours, remember that half an hour is 0.5 hours, not 0.30 hours. Keep the original times so you can explain a calculation.
Fictional example: A session runs from 3:00 to 5:00 with a 15-minute nonqualifying break. The eligible duration is 1 hour 45 minutes, or 1.75 hours, if the program accepts that calculation. Travel time is recorded separately until its eligibility is confirmed.
Verify while the work is fresh
Ask the supervisor about the preferred verification process before your first session. Some organizations use their own system. Others sign a school form or send confirmation. Do not sign on someone’s behalf or insert a digital signature without authorization.
For online service, use the remote verification checklist. A screenshot of an account is not necessarily proof that a task was completed or accepted.
Add a brief learning note
After each session, write one sentence about a responsibility, challenge, or improvement. These notes will help with a service reflection or community service essay. Keep evidence factual rather than writing a polished narrative every time.
Review the log regularly for missing dates, duplicate entries, inconsistent units, and unverified sessions. Store a backup in a place you control. A clear record reduces last-minute reconstruction and helps you describe your contribution accurately.
